Tender Notice for engagement of Event Managing Agency 

Tender No. : 5-15/CAF/BCC/2005/Part

(1) On behalf of Ministry of Environment & Forests, Govt. of India, the Wildlife Institute of India, Dehradun is organizing an International Conference at India Habitat Centre, Lodhi Road, New Delhi during 9^th-14^th June 2005. Over 100 delegates from India and abroad are to participate in this conference. Accommodation arrangements for delegates have already been arranged at Taj Mahal Hotel, India Habitat Centre and India International Centre, New Delhi.

(2)  The following event management logistics are required to be arranged for the smooth conduct of this prestigious meeting. You are therefore requested to quote your prices for each items separately.

A.  (i)   International Airport Welcome Reception Desk with banner and attending receptionist on 9^th & 10^th June 2005.

     (ii)  Conference backdrops at the conference venue, entrances and traffic round abouts.(iii)    English-Russian-English continued interpreter from 10^th-13^th June from 830 hrs to 2230 hrs. (Please quote on daily basis).

     (iv) Conference bags with lapel badge (eco-friendly and bio-degradable). The bag should contain writing pad (100 pages), one gel ink pen, one pencil with eraser and one tourist map of Delhi.

     (v)     Ushering :

a.  Videography and photography

b.  Indication boards

c.  Welcome panel and banner at the conference venue

(vi)  Desktop and Laptop computers (P-IV) with laser printers (unit cost per day)

(vii) Inaugural function compere on 10^th June 2005

B. Transport: 

(i)   2x2 – 40 seater luxury AC coach – qty 2 Nos. from 9^th (700 hrs) to 13^th June (2200 hrs)

(ii)  A.C. Qualis/Scorpio vehicles – Qty 2 Nos. from 9^th (700 hrs) to 13^th June (2200 hrs)

Note : i)   The vehicles will be at the disposal of organizers from 700 hrs to 2200 hrs daily to pickup and drop the delegates at the hotel and to take them around Delhi and surrounding areas as required.

ii)  Agency may quote for minimum charges per day with maximum permissible mileage and per kilometer rate thereafter.

C.  Any other item which is considered to be essential may also kindly be quoted optionally.
